Visitor Services Assistant (Events)

Painshill Park Trust is a charity which protects and restores a stunning award-winning 18th century landscape in the heart of Cobham, Surrey. Our objectives are to preserve and restore the landscape as closely as possible to its original concept and ensure its gifts are shared and accessible to all. Job Description
Reporting to: Visitor Experience and Volunteer Manager
Location: Visitor Centre, Painshill, Portsmouth Road, Cobham, Surrey, KT11 1JE
Hours: Your working hours will be a minimum 20 per week on days and times as directed by your line manager. You will be required to work some evenings and weekends. Your schedule of work will be notified to you a least two weeks in advance.
Salary: £12.26 (over 21) Expected hours: No less than 20 per week

Job Summary
Charles Hamilton’s creation, a labour of love in the 18th century, invites you to walk around dramatic follies, reflective waters and witness stunning views. However, forty years ago, Painshill was a lost garden – overgrown and hidden. Its many features were crumbling and decaying. Almost too late, it was rediscovered by a passionate and dedicated group of experts and enthusiasts who brought it back to life and prominence. Today Painshill Park Trust is a charity set up to manage, restore and share this wonderful Grade 1 landscape garden with our visitors and many communities.
Our team are integral in Painshill’s ambition to provide the best experience to all who visit. A year-round program of events compliments our offering, as do Forest School and children’s seasonal camps.
This role holds an important and diverse function, collaborating closely with the Visitor Experience and Volunteer Manager to ensure every visitor has an exceptional experience.

Key Aspects of the Post
Events and filming:
· Assist the Head of Visitor and Commercial Operations with the delivery of the Live Music Lates, Outdoor Theatre and Music in the Grotto
· Assist the Venue Hire Manager with venue hires, including Weddings
· Assist the Venue Hire Manager with venue hire and Wedding show rounds as required
· Assist with the setup of all events and venue hire.
· Support with filming and photography location hire
Visitor Care and Engagement:
· Working under the Visitor Experience and Volunteer Manager to ensure a high quality visitor experience, managing aspects such as presentation standards, visitor engagement and excellent levels of customer care
· Leading by example, ensure high standards of customer care for all visitors
· Oversee the visitor facilities ensuring areas are checked and cleaned and liaising with the Visitor Experience and Volunteer Manager as required.
· Assisting the Groups Booking Coordinator with the delivery of group visits, ensuring good organisation and communication to deliver an enjoyable visit.
· Assist with the events programme staffing as required by the Head of Visitor and Commercial Operations
· Assist the Visitor Experience and Volunteer Manager with the bookings of the golf buggies, ensuring all relevant paperwork is adhered to.
· Encourage, listen and respond to all visitor feedback escalating as required
Admissions and Ticketing:.
· Assist with the ticketing systems to ensure capacities and session allocations are maximised to full potential.
· Ensure all cash handling, banking, and associated paperwork are undertaken in a timely manner in accordance with safe, sound financial practice.
· Assisting with the processing and delivery of Painshill Memberships
· Proactively encourage and promote Gift Aid when selling tickets
Volunteers
· Assist the Visitor Experience and Volunteer Manager with the effective delivery of the Volunteer Team, ensuring everyone is working to the highest standards.
· Assist with the running and maintenance of the volunteer management system
· To actively engage with the Painshill Volunteers to boost morale and best working practices.
· Help to promote good working practices and identify training needs and opportunities to develop new skills.
· Promotion of good communication and team working with all staff and volunteers.
Retail:
· Assist the Retail Manager to ensure that all merchandise is accurately priced
· To check that all retail displays are stocked to agreed levels by the Retail Manager
· To ensure that all relevant point-of-sale material in use is correctly and up to date
· To ensure all displays are kept clean, tidy and stocked
· Assisting with deliveries and checking in new stock
General
· Day-to-day responsibility of the Visitor experience, overseeing the till points and till systems where required.
· Take reasonable care for the health & safety of yourself and others who may be affected by your acts or omissions at work including staff and visitors.
· Perform other duties and tasks as may reasonably be requested by the Visitor Experience and Operations Manager or the Head of Visitor and Commercial Operations.
· Work within the terms and conditions of employment and adhere to the policies and procedures of the Trust.
Skills and experience
· Experience of working within the heritage/visitor/hospitality/retail sector is desirable but not essential as full training will be given.
· Experience in a customer facing / visitor facing role
· Able to deal with the public in face-to-face situations and deliver a high standard of customer care,
· Be self-motivated
· Strong people skills. Ability to communicate effectively, build relationships with others and work within a team.
· Due to the location of Painshill and hours of work, own transport is recommended.
